Job Title: Executive Administrative Assistant

Job Description:

Provide direct high-quality support to the CEO of Effective Training Solutions. Complete a wide variety of administrative tasks that facilitate the CEO’s ability to effectively lead the organization.

Main Job Tasks and Responsibilities:

  • Provide direct high-quality support to the CEO of Effective Training Solutions. Complete a wide variety of administrative tasks that facilitate the CEO’s ability to effectively lead the organization. Managing the executive’s calendar, including making appointments and prioritizing the most sensitive matters. Organizing meetings, including scheduling, sending reminders, and organizing catering when necessary. Providing administrative assistance, such as writing and editing e-mails, drafting memos, and preparing communications on the executive’s behalf.

  • Performing basic finance duties.

  • Offer basic technical support to company staff and troubleshoot computer problems. Act as liaison between contracted IT person and staff. Assist in installing and updating company software and hardware, as needed. Anticipate and report the cost of replacing or updating computer items.

  • Assist CEO with marketing. Managing company’s online presence on social media sites such as LinkedIn, Facebook and company website. Planning, implementing, and monitoring company's Social Media strategy together with CEO in order to increase online engagement.  Analyzing social media statistics. No experience needed. Familiarity with social media sites preferred.

  • Manage online course platforms (WebEx meeting and Zoom meeting). Support training team with technical assistance and online training deliveries.

  • Arrange business travel for employees and personal travel for CEO - identifying the most cost-effective and efficient travel arrangements and making necessary reservations for accommodations. Schedules hotel, flight, and car rentals and prepares itineraries. Prepare, complete, and submit expense reports for Executive as well as other employees in the office.

Skills/ requirements needed for this job are:

  • Able to travel to local East Bay office, if needed

  • Reliable internet service at home

  • Basic computer skills        

  • Proficiency with: Microsoft Suite (Outlook, Word, Excel, PowerPoint)

  • Familiar with social media sites (LinkedIn, Facebook, Twitter etc.)

  • Good at basic math

  • Excellent verbal and written communications skills

  • Able to incorporate creative approaches to various projects by taking initiative and working independently

  • Able to organize and keep things organized

  • Problem solving - Solution oriented

  • Likes to learn new things; quick learner

  • Has a valid driver's license and car

  • High level of responsibility

  • Reliable and punctual

  • Has good attention to detail
